# Your lead inbox and CSV export

> Read every enquiry your funnels collect, set a status, add notes, delete a lead on request and export leads to a spreadsheet-safe CSV file.

## Who can do this

Leads are your visitors' personal details, so access depends on your role in the workspace:

A viewer who opens the inbox sees **Viewers can’t see leads: they’re your visitors’ personal details.** A member who tries to export or delete sees **Only owners and admins can export leads.** or **Only owners and admins can delete leads.**

Your leads stay readable in your workspace even when a funnel is no longer live.

## Where your leads are

There are two inboxes:

- One funnel's leads: open the funnel and choose the **Leads** tab.
- **All leads**, for every funnel in the workspace. See [All leads](https://staging.funnelcreative.com/docs/leads.md#all-leads).

Each lead is stored as soon as the visitor sends the form, before they see the thank-you page. Leads from every published version of a funnel are kept together, and each shows the version it came from.

## All leads

**All leads** shows everyone who sent a form on any funnel in this workspace, in one list.

1. In the sidebar, choose **My funnels**.
2. At the top, switch from **Funnels** to **All leads**.
3. To see one funnel, choose it in the **Funnel** list. **All funnels** shows everything.
4. In a lead's detail, click the funnel's name to open that funnel's **Leads** tab.

**All leads** works the same way as a funnel's **Leads** tab: the same filters, detail, status, notes and export. It shows only this workspace's leads.

## Find a lead

The newest leads come first. Each row shows the person's name and email address when the form asked for them, the version it came from and when it arrived, and its status.

Use the filters above the list:

- **Search**: type a name, an email address or any word from their answers (**Name, email or answer**). The list updates when you pause typing.
- **Status**: choose one status, or **Any status**.
- **From** and **To**: choose dates. Dates are whole days in UTC, the same for everyone in the workspace.
- **Clear filters** removes them all.

The list shows 50 leads at a time. Click **Show older leads** at the bottom to load the next 50.

## Open a lead

Click a lead to open its detail. It shows:

- when it arrived, which funnel it came from and the version number
- every answer the visitor gave. Each answer is labelled with a short name made from the form question's internal name, such as “Name”, “Email” or “Details”, not the full question text.
- the consent record: **Agreed** or **Did not agree**, then the exact consent statement the visitor saw and the time. If the form had no consent statement, it says **No consent statement was on this form.**
- on a funnel that offers a download, **The download was offered on the thank-you page.**
- a line confirming that no email was sent

Click **Close** to hide the detail.

## Set a status

Use **Status** in the lead's detail to track your follow-up. The choices are **New**, **Contacted**, **Qualified**, **Closed** and **Spam**. Every lead starts as **New**. The change saves straight away.

Marking a lead **Spam** only changes its status. It doesn't delete the lead or block the sender.

## Add a note

Notes are for you and your team. **No notes yet. Only people in this workspace see them.**

1. Type in **Add a note**.
2. Click **Save note**.

Each note shows the date it was added. A note can't be longer than 2,000 characters, and once saved it can't be edited or removed on its own. Notes are deleted with their lead.

## Delete a lead

Delete a lead when a visitor asks you to remove their details, or when you no longer need it.

1. Open the lead and click **Delete this lead**.
2. The dialog **Delete this lead?** says: **Their answers, consent record and notes are erased for good. The funnel’s counts keep the submission. This can’t be undone.**
3. Click **Delete lead**.
4. You'll see **Lead deleted. Their answers, consent record and notes were erased.**

Only owners and admins can delete leads. If you need a record that you honoured a request, export the lead first. See [Privacy and your leads](https://staging.funnelcreative.com/docs/privacy-and-your-leads.md).

## Export to CSV

1. In **Leads** or **All leads**, set the filters you want. The export includes every lead that matches, not just the ones on screen.
2. Click **Export CSV**. It is greyed out while the list is empty or loading.
3. Your browser saves a file named `leads-` followed by today's date in UTC, such as `leads-YYYY-MM-DD.csv` with the real date, and a message tells you how many leads were exported.

Only owners and admins can export.

What's in the file:

- one row for every matching lead, newest first, however many there are
- these columns, in this order: `lead_id`, `received_at`, `funnel`, `published_version`, `form`, `status`, `consent_given` (yes or no, blank when there was no consent statement), `consent_text`, then one column for each form question, named by its internal field name
- deleted leads are left out

The file is made to open safely in a spreadsheet:

- If an answer starts with `=`, `+`, `-`, `@`, a tab or a carriage return, even after spaces or line breaks, the cell starts with an apostrophe. This stops your spreadsheet from treating a visitor's answer as a formula. The apostrophe is not part of the answer.
- Every cell is in quotes, so commas and line breaks inside an answer stay in their cell.
- The file is UTF-8 with a byte-order mark, so accented names show correctly when you open it.

## Leads on your funnel cards

On **My funnels**, each card shows how many leads that funnel received in the last 7 days, when there are any. The summary above the cards also counts the whole workspace's leads for the same period.

## What the inbox doesn't do

- FunnelCreative doesn't email you when a lead arrives. New leads appear in the **Leads** tab and in **All leads**.
- It doesn't email your leads. Follow up from your own email tool, using your [email drafts](https://staging.funnelcreative.com/docs/email-drafts.md) if you like.
- There is no CRM sync and no webhooks. Leads leave FunnelCreative only through your CSV export or the account data export.

## Limits

- 50 leads per page in the list; **Show older leads** loads more.
- Notes: up to 2,000 characters each, and they can't be edited after saving.
- Dates in filters and file names are UTC days.
- Viewers can't see leads. Only owners and admins can export or delete them.
- A deleted lead can't be brought back.

## If something goes wrong

- **We couldn’t load leads**: click **Try again**.
- **That lead isn’t in this workspace any more.**: someone else deleted it, or it belongs to another workspace.
- **Your role in this workspace can’t change leads.**: ask the owner or an admin to change your role. See [Your team: members, roles and workspaces](https://staging.funnelcreative.com/docs/team-and-roles.md).
- **No leads yet. Publish this funnel so visitors can send its form; their details appear here.**: the funnel hasn't been published. See [Publish your funnel](https://staging.funnelcreative.com/docs/publish-your-funnel.md).
- **No leads match these filters. Clear them to see every lead.**: click **Clear filters**.
